How to use automations in Speak AI

What are automations?

Automations let you set up workflows that run automatically without manual intervention. For example, you can automatically run an AI Chat prompt on every new recording, export transcripts to a specific format, or send results to Slack.

Types of automations

Instant automations

These trigger immediately when something happens:

  • New media uploaded: Run an AI Chat prompt as soon as a file finishes transcription

  • Media analyzed: Export or send results when analysis completes

  • Recording received: Process embeddable recorder submissions automatically

Scheduled automations

These run on a recurring schedule:

  • Run a summary across all files in a folder every week

  • Generate a weekly report of key insights

  • Export new transcripts daily

Setting up an automation

  1. Go to Automations in the sidebar

  2. Click Create Automation

  3. Choose your trigger (instant or scheduled)

  4. Select the folder to monitor (or all folders)

  5. Choose your action:

    • Run AI Chat prompt: Enter the prompt you want to run on each file

    • Export: Choose format and destination

    • Send to Slack: Post results to a Slack channel

    • Field mapping: Extract specific data fields

  6. Save and enable the automation

Use cases

  • Meeting teams: Auto-generate meeting minutes and action items for every recorded call

  • Researchers: Automatically extract themes and sentiment from every interview

  • Podcasters: Generate show notes and social media quotes from every episode

  • Customer support: Analyze call recordings for sentiment and escalation signals

  • Sales teams: Extract key objections and follow-up items from sales calls

Managing automations

From the Automations page, you can:

  • Enable or disable individual automations

  • Edit triggers, actions, and schedules

  • View automation history to see what ran and when

  • Delete automations you no longer need
